Booking Conditions Please read the following conditions carefully as they form the basis of your contract with Venue Holidays and the company providing your transport arrangements. These booking conditions are also publicised on our website. By making a booking by post, phone, fax or e-mail it is understood by Venue Holidays that you have read and accepted these booking conditions and other important information outlined in our brochure/on our website. On this page the words “you” and “your” refer to you (the party leader) and any members of your party. The words “we”, “our” and “us” refer to Venue Holidays. Venue Holidays is the trading name of Venue Holidays Ltd (Company registration number 2201903).
MAKING A BOOKING Once you have made a provisional booking you should pay a deposit of 25% (minimum €150) of the holiday cost (not including insurance), within the time limit agreed. You will then be sent a booking confirmation at which stage a contract will exist between you and Venue Holidays. Venue Holidays should receive the balance of the holiday costs no later than 8 weeks before your departure. If payment is not received by this time Venue Holidays reserves the right to cancel the holiday. In this case the normal cancellation charges will apply. Bookings made less than 8 weeks before departure should be paid in full at the time of booking. For last-minute bookings we may insist on payment by credit or debit card. On receipt of your full balance we will send you a final confirmation and a Holiday Guide for your resort. The party leader (who must be at least 18 years old at the time of booking) is responsible for making all payments on behalf of the other party members. Any person under 18 who is not travelling with their parents must have the written consent of their parents or legal guardian. All units of accommodation must be occupied by a legally responsible adult at all times. Our resorts are not suitable for groups of young people (even if they are over 18 years old) and we will not accept such bookings. If you are in any doubt about this you should tell us at the time of booking about the composition of your party, otherwise you may be refused entrance to the campsite. Only guests notified to Venue Holidays will be admitted onto the campsite. We are not responsible for any loss of enjoyment or disruption to your holiday due to any information that you fail to disclose to us at the time of booking. We reserve the right to refuse any booking or amendment to a booking for any reason.
DATA PROTECTION In order to provide you with our services it is necessary to collect certain information about you and your party. These details can include the names & ages of party members, a telephone number, a postal and e-mail address, your vehicle details, your debit or credit card details, special health issues and any other information necessary for the successful completion of your holiday. We take strict measures to protect your personal data and we never pass on such data to external marketing agencies. We will use your personal data for our own marketing purposes unless you tell us otherwise. When you request a service from us we may have to pass on selected items of your personal data to third party suppliers such as campsites, Channel operators etc. Some of these suppliers may operate outside the EEA. We may also have a legal responsibility to pass on your personal data to credit checking agencies and government bodies. Under the provision of the 1998 Data Protection Act you have the right to receive a copy of the information held about you by Venue Holidays. You have the right to change that information. We may charge an administration fee for such services. If you no longer wish to remain on our database please inform us in writing.
CANCELLATION If you wish to cancel your booking you must notify Venue Holidays as soon as possible. We may ask you to confirm the cancellation in writing. On the date that the cancellation is received the following cancellation charges apply, expressed as a percentage of the total holiday cost.

We recommend that you take out travel insurance as most policies cover you for many of the instances where cancellation is necessary.
CHANGES TO YOUR BOOKING If you have to amend any details of your booking after it has been confirmed you should contact us as soon as possible. We will do our best to accommodate your request but we cannot guarantee this. Our amendment fee is €25 on any changes notified to us. You will also be charged for any costs levied by third parties on services booked on your behalf. You will also be charged for any increased costs arising from the changes that you make to your accommodation booking with Venue Holidays e.g. accommodation/campsite upgrade. If you reduce the number of nights on the original booking, or accept a lower grade of accommodation/campsite you will still be liable to pay for the whole holiday as booked. If you move your departure date by more than 7 days we will treat the original booking as cancelled with the appropriate cancellation charges applicable. It is not possible to change your holiday dates within 28 days of departure. If we cannot make your requested change and you do not wish to continue with your holiday then your booking will be deemed as cancelled with effect from the date that the change was requested and the normal cancellation charge will be levied. We reserve the right to refuse any changes to your booking.
CHANGES BY US In the unlikely event of unforeseen circumstances causing Venue Holidays to alter your holiday details, we will inform you as soon as possible. If this results in a major change to your holiday (i.e. change of resort or dates) we will offer you a suitable alternative if available or, if this is not acceptable, offer you a full refund.
OUR RESPONSIBILITIES Venue Holidays have done their utmost to ensure that the contents of this brochure were correct at the time of going to print. We accept liability for those parts of the holiday arrangements, which are under our direct control except where any damage, loss of enjoyment or expense caused to you is from circumstances of 'force majeure', your actions or any third party not under the control of Venue Holidays. We do not accept liability for any event beyond the control of Venue Holidays such as war, riots, strikes, adverse weather and other Acts of God or similar events. Our campsite representatives are employed to clean and maintain the accommodation prior to your arrival, to welcome you on arrival and to deal with your holiday inquiries during your stay. Our campsite representatives are not allowed to engage in any other commercial or non-commercial arrangements with you and Venue Holidays accepts no liability for any damage, injury, loss of enjoyment or expense caused to you by such arrangements.
TRAVEL AND HOTEL SERVICES When you require a travel or hotel service Venue Holidays acts as the agent of the relevant supplier of these services and a contract exists between you and the transport or hotel supplier. No liability can be accepted for any of the travel or hotel services in this brochure or any other aspects of the holiday where liability is governed by international convention and where liability may be limited or excluded. Travel and hotel information in this brochure is prepared well in advance of the season and should be used for guidance only. No liability will be accepted for any delays and/or re-scheduling of timetables by the suppliers. The suppliers’ own terms and conditions of carriage apply to all their customers and it is your responsibility to adhere to these. It is your responsibility to pay for any costs incurred by you, which are not included in the holiday price; and for any loss or damage caused by you in hotels or on-board carriers. Please read the brochure carefully for what is included in each price.
ARRIVAL AND DEPARTURE This is a self-drive holiday and it is your responsibility to plan your route and ensure that your car is roadworthy and properly insured for use outside of your country of residence. No refunds will be issued for unused accommodation should you breakdown or experience travel delays. You should aim to arrive at the campsite between 15:00 and 20:00 hours and Venue Holidays will take no responsibility for any disappointment, loss of nights or extra accommodation costs should you arrive outside these hours. If you arrive before 15:00 hours, please contact our campsite representative on arrival. However we cannot guarantee that the accommodation will be ready until 15:00 hours. Although we will make every effort for late arrivals we cannot guarantee that our staff will be waiting for you after 20:00 hours. If you know at the time of booking that you are going to arrive late you should let us know. Our representative will then inform the campsite reception and/or night security. Customers booking their own flight should inform us of their arrival times. Please also note that campsites close their entrance gates to cars from about 22:00 hours, so if you arrive later than this you may have to park outside. Some campsites in Italy also close their gates during the siesta period, which is normally 13:00 – 15:00 hours. If you fail to arrive on the day specified in your confirmation you should inform us of your new arrival time by midday of the following day. If you do not do this we reserve the right to treat the booking as cancelled. On your day of departure you should vacate the accommodation by 10:00 hours as stated on your confirmation contract. We reserve the right to enter the accommodation from 10:00 hours in order to prepare for the next guests. If you have not paid the Damage Waiver you will have to arrange for your representative to inspect your accommodation in order to re-pay your damage deposit.
YOUR ACCOMMODATION On booking you agree to accept the accommodation allocated to you by our campsite representatives, irrespective of any special requests notified to Venue Holidays at the time of booking. Special requests will be noted by Venue Holidays but can never be guaranteed. If you are not happy with the condition or cleanliness of the accommodation you should report this to our campsite representative as soon as possible. It is your responsibility to look after the accommodation and equipment during your holiday. If you pay the €22 Damage Waiver you will be covered for any accidental damage that you cause to the accommodation or equipment. However you will be liable for all non-accidental damage that you or your party cause to the accommodation or equipment. It is your responsibility to leave the accommodation and equipment in a clean and satisfactory condition. It is your responsibility to safeguard your belongings whilst staying on the campsite. Please note that prices quoted in this brochure only include 1 car, 2 adults and up to 4 children (under 21). Extra adults and children will be charged at the rate of €10 per person per night. Not all campsites allow more than 6 persons per pitch, irrespective of the size of the accommodation. On the resort pages we indicate the maximum number of people allowed per accommodation type. A mini-tent and/or a second car are allowed on certain campsites, but the resort management would normally levy a supplementary charge. It is your responsibility to pay this to the campsite. Venue Holidays only agree to settle extra charges on your behalf that are notified and paid to Venue Holidays prior to departure. All items and belongings owned, borrowed or rented by you must be kept within the confines of the pitch occupied by the allocated accommodation. All our accommodation is non-smoking.
RESORTS Venue Holidays has no control over the running of the resorts, featured in this brochure. While great care has been taken to ensure brochure accuracy, resorts may change or withdraw facilities at their own discretion. Some facilities may not be open or fully operational outside of the peak season and this is reflected in the lower prices for these periods. On the resort pages LS = Low Season and HS = High Season. In general the high season is July and August but this may vary from campsite to campsite. Some facilities in Italy may be closed during the daily siesta period. You must obey the rules and regulations of the resort. You are also expected to show consideration to other customers. If you act in a manner that causes danger or annoyance to other people at the resort we, or the resort management, reserve the right to ask your entire party to leave the resort. In these circumstances Venue Holidays will give no refunds. Campsites charge for certain sports and services and it is your responsibility to pay for any costs incurred by you. If a member of your party has an infectious or contagious disease you may be asked to leave the resort. In these circumstances no refund will be made. You must pay particular attention to the general behaviour and safety of any minors in your party and in particular where there is obvious danger e.g. swimming pools and licensed bars. Pool regulations vary and some campsites insist that you wear swimming hats. Some campsites only allow conventional swimming trunks and ban longer legged swimwear e.g. Bermuda shorts. Some campsites issue barrier cards for vehicle access and you may be charged a deposit. Some campsites issue you with personal identity bands and you may be charged for losing them. At Camping Ca’ Savio the cost of the electricity to run the air conditioning units is not included in the holiday cost. At Camping Norcenni Girasole and Camping Park Albatros all monetary transactions at the resort are made via a chip card, which will be issued to you on arrival. You are responsible for topping this card up as required and for cashing in unused credit before you leave the resort.
PRICES We reserve the right to increase or decrease the price of unsold holidays at any time. Prices are subject to surcharges due to increases in transport costs or as a result of government action e.g. an increase in VAT or other tax. We will absorb any increase up to 2% of the holiday price. Amounts above 2% may be surcharged. If any surcharge is more than 10% of the holiday cost you are entitled to cancel the booking and receive full repayment except for insurance and amendment charges. You must cancel within 14 days of the date of issue of the surcharge invoice. We guarantee there will be no surcharges due to currency fluctuations.
PETS Pets are allowed in tent accommodation at certain resorts and Venue Holidays charge €25 per pet per holiday. Campsites and Channel operators may also charge a fee. Restrictions may be imposed on your pet. You must notify us if you are bringing a pet.
HEALTH AND TRAVEL DOCUMENTS It is your responsibility to be in possession of all necessary travel or health documents. There are no visa restrictions for EU citizens to visit any of the countries featured in this brochure. Non-EU citizens must check their visa requirements with the embassy of the country to be visited. Up-to-date health requirements can be obtained from the Dept of Health. EU travellers are advised to carry the EHIC card (obtainable from your local post office), which provides reciprocal health care within the EU. These must be renewed every 5 years. We recommend that you also take out travel insurance for those costs that are not covered by the EHIC.
COMPLAINTS PROCEDURE We pride ourselves on receiving very few complaints but if a problem should occur you should notify our Campsite Representative at the resort immediately. Your holiday enjoyment is our main concern and in most cases our Campsite Representative or Area Manager will be able to resolve any problems. If the problem is not resolved you should ask the Campsite Representative or Area Manager to contact the Venue Holidays head office, for guidance. If the problem is not properly resolved during your holiday and you wish to register a complaint with Venue Holidays, you must do so within 28 days of leaving the resort. Unfortunately Venue Holidays cannot answer any complaints that do not go through the correct procedure as just outlined. Finally if you have a dispute with Venue Holidays, which you are unable to resolve, you may call upon the low-cost AITO Independent Dispute Settlement Service (details on request). Claims are limited to up to £2,500 per person and £10,000 per booking. The settlement service cannot be used where the claim is solely or mainly for physical injury and/or illness.
